A day in your life as an Accounts Payable Accounting Assistant:
Under the supervision of the Accounts Payable Supervisor, the Accounting Assistant processes vendor invoices and employee reimbursement reports for payment through the automated accounts payable system.  This entails inputting vendor invoices and employee reimbursement report information, balancing data input and processing checks by the automated system for distribution. Assists with the business unit’s compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including but not limited to those related to Fair Banking, Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act. 

We’ll give you these important responsibilities…
  • Receives, batches, date stamps, codes invoices and employee expense reports for Bank of Hawaii and subsidiaries. Analyzes each invoice/employee expense for authentication, matches invoice to purchase orders, determines and assigns general ledger account/cost center allocation, inputs on computer and verifies entries. Processes automated invoice such as Foxtrot and CSV files. 
  • Researches, analyzes and responds to inquiries regarding payments, cost allocation charges posted to the general ledger accounts and makes adjusting entries when necessary. Processes general ledger upload files, checks, branch clearings tickets and entry letters within the 5 day deadline.  
  • Audits employee expense and vendor reports. Prepares daily and monthly reconciliation reports. 
  • Prints and mails vendor checks according to disbursement instructions. Files invoices/employee expense reports and maintains files.  Processes all incoming mail.


Qualifications

Education: 
  • High school diploma or G.E.D. In addition, 2 years of post-high school education in Accounting or related subject or equivalent work experience. 

Experience: 
  • Minimum 1 - 2 years accounting experience in accounts payable and general ledger experience preferred.

Technical Skills:  
  • Demonstrated proficiency with personal computers and Microsoft applications (Outlook, Word, Excel, and PowerPoint) or similar software. 
  • Knowledge of or ability to use Bank software and systems.    
  • Knowledge and operational use of 10 key by touch and must have strong keyboarding skills with minimal errors. 

Other Job Qualifications: 
  • Ability to write clearly and concisely.  
  • Possess positive attitude in dealing with internal and external customers.  
  • Ability to work in a team based work environment.  
  • Must be able to work evenings, weekends and holidays as assigned.  
  • Must be able to lift files up to 30 lbs, and may use a step stool and bend and stretch for filing and retrieving folders.
