A day in your life as a Facilities Operations Specialist

Under the direction of Corporate Facilities’ Engineering Manager, this position coordinates day-to-day facility operations/issues with contracted vendors in their scheduled and non-scheduled work at all Bank of Hawaii properties within the West Pacific Region (WPR).   If applicable or appropriate, assists in business unit’s compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including but not limited to those related to Fair Banking, Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act.  In addition, this position is responsible for demonstrating the Excellence in Sales/Service (ESS) philosophy by embracing and practicing ESS disciplines and behaviors.

We’ll give you these important responsibilities…

  • Coordinates the day-to-day operations at Bank of Hawaii WPR and resolves any tenant issues as they relate to the facilities.  Insures all vendors are performing in accordance with their contracted activities.  Assists with trouble calls, work order creation, dispatch, follow up and work order closure.  Performs follow up actions, documents concerns, deficiencies/issues and initiates corrective actions for multiple locations based on company and department guidelines.  Conducts periodic onsite visits and meetings with end users, and proactively plans and schedules work to ensure all performance standards are met.
  • Identifies facility and engineering repairs and projects for WPR facilities to ensure continuous building operations are in line with Corporate Facilities’ guidelines.  Defines scope of work, develops justification, solicit costs and prepares project budget for approval.  Upon approval, manage projects and project documentation, including project progress reports, to ensure work is completed on time, within budget and per contract requirements.
  • Prepares Request for Proposals (RFP) for various recurring building services.   Reviews RFP responses and makes recommendations for final approval.  Drafts vendor contracts and processes cost proposals for purchase orders in accordance with Bank procedures.  Reviews vendor invoices for accuracy and prepares for processing, on a timely basis, to Corporate Facilities for payment.  Maintains schedules for projects and ensures requests for progress and final payments are supported by appropriate detail.  Prepares all requests for payment for review and approval.
  • Performs general administrative and accounting duties, including maintaining all files and ensuring compliance with Bank’s policies and procedures.  Assists in preparation of monthly reports and communicating with internal clients, third party tenants, service providers and vendors.  Assists with budgeting and forecasting.
  • Implements and/or coordinates WPR disaster response, business continuity and physical security issues including building access and security. 
  •  Perform all other job related miscellaneous responsibilities and duties as assigned.

  • College degree or equivalent work experience in a related field.



  • 5 years of experience performing related job duties in Facilities Management, Project Management or Building Operations.  


Technical Skills: 

  • Ability to use a personal computer and is proficient on Microsoft Office software, including Outlook, Internet Explorer, Word, Excel, and Access. 
  • Responsible for carrying Bank mobile phone at all times and must be available after hours for business related emergencies and problems.


Other Job Qualifications: 

  • Strong self-starter and ability to work independently, with minimal supervision. 
  • Excellent interpersonal, verbal and written communications skills, with a solid knowledge of building systems. 
  • Detail oriented with the ability to work under pressure and manage multiple tasks. 
  • Must possess organizational skills with the ability to retain and deliver information efficiently, verbally and in writing.
  • Must be able to provide own transportation or to operate a vehicle with a valid driver’s license, and ability to commute and arrive at intended destination in a timely manner and/or as required. 
  • Must be able to acquire a valid passport and be able to travel domestically as well as internationally by air as required. 
  • Able to work flexible hours including holidays, weekends and evenings as needed or assigned. 
  • Must be able to climb a ladder and bend behind equipment and desks to check for electrical wiring, etc. 
  • Must be able to move materials up to 30 lbs.
