A day in your life as a Lockbox Manager

Under the leadership of the Enterprise Operations Manager this position is primarily responsible for managing the day to day operations within the Lockbox Processing Operations unit.  Managing oversight includes ensuring that the services are delivered in a reliable and professional manner that meets the quality standards of our clients is in line with our division objectives.  Assists in business unit’s compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including but not limited to those related to Fair Banking, Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act.

  • Manages and oversees activities of the unit; establishes goals for the unit in accordance with and in support of bank, division and department objectives.  Determines and establishes work priorities and schedules; monitors unit’s performance to ensure that department objectives and customer service level agreements are achieved via monthly business reviews.  Manages expenses of the Lockbox unit to approved budget; develops and maintains business resumption and disaster preparedness plans for the assigned unit.
  • Develops department strategies and annual performance goals.  Shares business results with the department and with individual staff members.  Ensures that staff are sufficiently trained and have the tools necessary to complete their work to Bank standards. Monitors performance against goals. Identifies weaknesses and makes improvements.  Provides leadership and guidance to ensure the department is in compliance with bank policies, HIPAA regulations and division goals.  Sets standards for HIPAA processing and holds team accountable for performance that meets or exceeds regulatory requirements.
  • Ensures issues are identified early and quickly escalated to the direct manager, Service Desk and/or respective vendor, as applicable.  Partners with various business units when Lockbox services are being sold to meet with clients and assess their needs.  Ensures set ups and tests for new clients on Remit Enterprise is in accordance with client specifications. 
  • Responsible for the management of all employees in the team including staffing and scheduling, compensation, performance management, training and development.   Goal is to attract, retain and motivate the team to achieve management business objectives and maintain a favorable employee relations climate.  Responsible for the timely and effective management of Human Resources forms and documents relevant to immediate staff.
  • Ensures billing data from the Remit Enterprise system is forwarded timely to Cash Management.
  • Represents operations and assist with testing and implementation of system upgrades as necessary.
  • Performs all other miscellaneous responsibilities and duties as assigned.

  • Bachelor’s degree or equivalent work experience.
  • Some accounting classes preferred.



  • Minimum 5 years of experience in related positions of progressive responsibility preferably in lockbox, deposit operations or related area. 
  • Requires minimum 2 years of lead/supervisory experience in a high volume operations group.
  • Must be knowledgeable of general accounting principles and practices, budgeting and bank businesses. 
  • Experience processing HIPAA protected information preferred.


Technical Skills: 

  • Demonstrated proficiency and expertise with personal computers in a networked environment and Microsoft applications (Outlook, Word, Excel and PowerPoint) or similar software. 
  • Knowledge of or ability to use Bank software and equipment.

  • Demonstrated verbal and written communication skills, including presentation skills. 
  • Must be analytical, detail oriented and organized. 
  • Able to meet deadlines and handle multiple changing priorities. 
  • Demonstrated customer service, interpersonal and negotiation skills, as well as leadership and team building (mentoring, coaching, counseling, conflict management, etc.) skills. 
  • Able to understand general accounting entries and reconcile accounts. 
  • Must be able to work evenings, weekends and holidays, as necessary or assigned.
