A day in your life as a Property Manager

Under the direction of the Real Estate Manager, this position manages a portfolio of Bank of Hawaii Corporation properties and is responsible for ensuring that each real estate asset is managed and maintained to its highest and best level.  This position assists the designated asset management team within the Real Estate group and Corporate Facilities Division.  Ensures business unit’s compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including but not limited to those related to Fair Banking, Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act.  In addition, this position is responsible for demonstrating the Excellence in Sales/Service (ESS) philosophy by participating in and practicing ESS disciplines and behaviors.

 

We’ll give you these important responsibilities…

  • Performs all property management functions for assigned properties; monitors and administers lease agreements; performs site inspections of the property and tenant spaces to ensure compliance with leases;  establishes and maintains strong and positive relationships with all tenants; serves as the lead team member for ensuring a welcoming, immaculate, well maintained environment for customers, tenants and employees at all BOH facilities; responsible for ensuring that vendors are performing in accordance with their contracted responsibilities; serves as the advocate for all Bank of Hawaii property users; ensures work orders are completed in a timely manner and reports are furnished as per contract terms.
  • Prepares annually a five-year operating budget within the portfolio; recommends action for each property, as appropriate, for inclusion in the division's strategic plan; reviews databases regularly for accuracy of information and take necessary steps to obtain missing data; reviews and approves invoices for accuracy and timely processing; oversees and manages purchase orders and ensures sufficient funds are available for each contract; prepares all requests for payment for final review and approval by Bank staff.
  • Prepares annual operating and CIP budgets and Common Area Expense (CAM) reconciliations, monthly accruals and adjustments for review and approval by senior management.  Pursues correction of all billing or reconciliation discrepancies and collection of all delinquencies; identifies and researches variances on monthly reports and updates financial data for monthly forecasting; updates operating expense analysis; distributes monthly billing statements and oversees collection of rent and payment of expenses; assists real estate accounting team with questions related to the properties; ensures proper property coding of invoices; must have a general understanding of financial reports including variance reporting, general ledgers and CAM estimate/reconciliation calculations.
  • Responds to tenant requests/problems in a timely manner; ensures that there is 24-hour emergency coverage for the property at all times; oversees and coordinates all property management, maintenance, and construction activities associated with third party tenants.
  • Performs all other miscellaneous responsibilities and duties as assigned.

Qualifications

Education: 

  • Four year college degree from an accredited educational institution in real estate or related field or equivalent work related experience. 
  • Must possesses a valid Real Estate license.

 

Experience: 

  • Minimum of 5 - 7 years’ experience in commercial real estate (examples:  real estate lending, property or asset management, trust property administration, real estate appraisal); experience and knowledge of preparing and administering operating budgets for properties. 

 

Technical Skills: 

  •  Ability to use a personal computer and is proficient on Microsoft Office software, including Outlook, Internet Explorer, Word ,Excel, and Access or similar relational database product. 
  • Relational database knowledge, strong spreadsheet proficiency and analytical skill-set. 

 

Other Job Qualifications: 

  • Ability to develop, understand and apply complex financial analyses. 
  • Demonstrated strong managerial, leadership, negotiating, analytical, communication, presentation, and writing skills. 
  • Strong project management skills.  Ability to work with all levels of management. 
  • Must be able to provide own transportation and possess a valid driver’s license, and ability to commute and arrive at intended destination in a timely manner and/or as required.
