A
day in your life as a Trust Tax Office Administrator
Under the direction of the Trust
Tax Manager, this position is responsible for secretarial duties and administrative
functions of the Trust Tax Department.
If applicable or appropriate, assists in business units compliance with
applicable laws, regulations, regulatory requirements and Bank policies and
procedures, including but not limited to those related to Fair Banking, Anti-Money
Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act.
Well give you these important responsibilities
Supports
Trust Tax Department staff with general duties including, but not limited to, preparation
of correspondence, mail pickup and delivery, manual check requests, maintain
work logs and process various reports (such as account set-up, account closing,
notice correspondences, GST analysis).
Controls
tax return tracking, assembly, signing and filing of income tax returns and
estimated income tax payments. Updates and maintains the tax department
databases.
Control
and maintenance of Trust Tax Department client files as well as administrative
files, including filing and purging of documents.
Accounts
Receivable: Processes and collects all
billings for tax services. Accounts Payable: Prepares and maintains purchase order requests
and submits invoices for payment.
Manages vendor contract statuses.
Administrative
duties for Trust Tax Manager, including, but not limited to, preparation of
correspondence, managing appointments, set up and management of meetings and
managing telephones, responses and messages.
Administrative
Function Management: Ensures the
administrative functions of the office are effective and timely. Participates with department management in identifying
and implementing process improvements.
Answer
inquiries from other departments and ensures appropriate follow through and
resolution.
Qualifications

High
School Diploma or G.E.D. 2 years post
high school (from an accredited institution) preferred
Minimum
3 years of work experience in office administration
Demonstrated
proficiency and expertise with personal computers and Microsoft applications
(Outlook, Word, Excel, Access, and PowerPoint) or similar software
Knowledge
of or ability to use Bank software and systems
Demonstrated
verbal and written communication skills
Must
be analytical, detail oriented, organized
Must
be able to meet deadlines and handle multiple priorities
Ability
to build strong working relationships and partnerships across organization with
a collaborative and consultative approach
Ability
to simultaneously manage multiple projects and assignments with varying
deadlines
Able
to work flexible hours including holidays, weekends and evenings as needed or
assigned
